With Emissary's Calendar Integration feature, you can integrate one Google or Microsoft calendar per full seat.
Once you have integrated a calendar, you'll be able to send direct meeting booking links via SMS in a one-to-one conversation. Events booked with Emissary calendar links will appear on your calendar automatically.
There are a variety of settings you can adjust to ensure meetings are being booked according to your availability and preferences. Let's go through them together.

Set-Up
You can access your Calendar Integration settings by navigating to the 'Calendar Integration' tab on the lefthand menu.
Within this page, you'll find the links to integrate either your Google or Microsoft calendars.
Once your calendar is integrated, you'll be able to start setting your preferences by clicking on the pencil edit icon.
Calendar Settings
Default Open Hours
Here you'll be able to set your regular availability.
First, ensure your timezone is set correctly.
Next, you can toggle entire days as unavailable by selecting the checkbox to the left of the day (e.g.; weekends).
You can create as many time windows throughout the day as needed by selecting the plus icon to the right of the time fields. This will create additional rows for you to create a new window in the same day (e.g.; breaks, regular meetings, etc.).
Only times within the windows that you set here will be visible to people booking a meeting with you.
Event Details
Here you can set preferences for how the meeting will appear in both your's and the person booking the meeting's calendar.
You can customize the event title and keep it personal by clicking the {candidate_name} variable. This will populate with the name the person booking the meeting puts in the corresponding field.
Use the 'Location or Video Call Link' field to the right of the 'Title' field if you have a stable meeting room link or in-person location. If you enter information into this field, every person who books a meeting with you will see that same information.
If you would like a unique link to be automatically generated for each meeting, simply check the 'Create a conferencing link with Google/Microsoft'. Enabling this will override anything in the 'Location or Video Call Link' field.
Booking Links
There are two types of booking links: 'One-Time Use Booking Link' and 'Permanent Booking Link'.
One-Time Use Booking Links:
For one-time use and can't be shared with multiple contacts
Intended to ensure that the link is accessible only to the specific person it was shared with
These links will automatically populate with the contact information in the one-to-one conversation in Emissary. If you copy this link and share it with other people, it won't update with the correct information.
Check the 'Send a confirmation SMS message when the candidate has booked the event' if you'd like the booker to receive an SMS confirmation after they book with you. By default, both you and the booker will receive email confirmations.
Permanent Booking Links:
A non-expiring dynamic link that stays consistent over time
Typically used when users want to include a stable calendar link somewhere (e.g. SMS Template) without needing to generate a new one every time
In the 'Permanent Link' field, you can customize your URL to keep it personal. You can preview it in your calendar settings, but you'll need to grab the actual URL in a one-to-one conversation. These links you can copy and paste repeatedly and they will not auto-populate with anyone's contact information, allowing it to remain flexible.
Days Available in the Future
This setting allows you to set the number of days in advance you are available for bookings.
For example, if today is Wednesday and your 'Days Available in the Future' is set for 2 days, then people can only book with you until Friday.
Note: this setting will count days you have marked as unavailable.
Lead Time
Here you can set the minimum period between the current time and when a meeting can be scheduled.
For example, if 'Lead Time' is set to 2 hours, and it is 1:00pm, people looking at your link now will be able to book meetings from 3:00pm onwards.
Break Time Between Meetings
This setting lets you set a buffer before and after meetings, if you'd like to ensure you don't get stuck in back-to-back calls.
If you have your time 'Before' and 'After' both set for 30 minutes and someone books a meeting with you at 12:00pm, your calendar will be blocked from 11:30am until 30 minutes after the meeting is finished.
Customize Confirmation Emails
This final setting is where you can customize parts of your confirmation emails (e.g.; email title, body message, company logo). If you leave these fields blank, a default confirmation email will be sent.
Email Title: title inside of the email
Email Body: any additional message you'd like to include besides the meeting date and time confirmation
Company Logo: will stay at the top of the email
You can preview your customized confirmation email by clicking the 'eye' preview icon to the right of the 'Company Logo' field.
Using the Links in Messaging
Now that you've set your preferences, you're ready to start booking meetings! To do so, you'll need to navigate to an individual conversation in your Inbox.
You'll find the option to insert an invitation link below your text box by clicking on the calendar icon.
You must have a message typed before you will be allowed to access the calendar icon.
Once you click the calendar icon, you'll be prompted to choose one of the four options: 15 minutes, 30 minutes, 45 minutes, or 1 hour.
Note: each of those options produces a different link. If you chose to create 'Permanent Links', keep that in mind if you plan to copy and paste the link into something like a Template. Consider titling your templates to correspond with the different meeting lengths.
Once you have decided on the meeting length you'd like to book, click 'Insert invitation link'. Once you send that message, the recipient can book, reschedule, or cancel with that same link in their text conversation with you.
Regardless of the link type you choose, your availability will stay accurate as people book meetings. You will receive an email confirmation, as well as an event in your calendar, for review.
